Rollup types and rollup codes are user-defined fields that allow you to group accounts for reporting purposes without affecting the structure of the account itself. You can create an unlimited number of rollup codes for each rollup type defined.

  • You must define at least one rollup type in General Ledger Options before creating rollup codes.

 

To create rollup codes

  1. Select General Ledger Setup menu > Rollup Code Maintenance.

  2. In the Rollup Type field, select the rollup type for creating rollup codes. For more information, see Rollup Code Maintenance - Fields.

  3. In the Rollup Code field, enter a unique rollup code and press ENTER. Repeat this step to create as many rollup codes as necessary.

  4. Click Accept.

Rollup codes are created for the selected rollup type.

Expand or collapse item  Example - Using Rollup Types and Rollup Codes

ABX Company wants to analyze its expense to different marketing managers. Each marketing manager is responsible for one or more regions. In addition, management often changes which managers are assigned to which regions. Typically, it is difficult to track the managers that are assigned to specific regions because certain characteristics, such as regions and general ledger accounts, do not change frequently while managers may. It is difficult to reflect the change of managers in the actual structure of the general ledger account. To alleviate this problem, you can assign rollup types and codes to classify and report on dynamic data, such as managers assigned to specific regions, without affecting the structure of the general ledger account itself.

Consider the following account structure, rollup types ("Region" and "Manager"), and rollup codes ("California" and "National" assigned to rollup type "Region"; "Steve" and "Jane" assigned to rollup type "Manager").

A new store opens in Tempe, AZ and as a result company ABX realigns its regions and managers. The account 4000-2700 Sales: Tempe is added, and regions and managers are reassigned by using rollup types and codes without changing account numbers.

The following example shows that accounts reflecting cities Los Angeles, Phoenix, and Detroit are reassigned to region "Major Markets," and accounts reflecting cities Irvine and Tempe are reassigned to region "Smaller Markets." Jane, the former manager of region California, is now reassigned to region "Major Markets." Manager Steve resigned during this time period, and a new manager Bob is assigned to the "Smaller Markets" region.
