Send Pre-Notes for Approval Through the Sage 100 Direct Deposit Service

Every employee bank account involved in direct deposit must go through the Pre-Note process to determine that a deposit can be successfully transmitted. A pre-note is a zero-dollar amount credit that is sent to the employee's bank account before a direct deposit can be made to this account. This Pre-Note process ensures that the routing/transit numbers and bank account numbers are correct, so that the bank can successfully receive a credit to the account.

The approval process for pre-notes takes 5 business days, excluding bank holidays.

Employees must be set up for direct deposit before pre-notes are sent. For more information, see Set Up Employees for Direct Deposit.

 

To send pre-notes for approval

  1. Select Payroll Direct Deposit menu > Pre-Note Selection Register.

  2. Change the date in the Pre-Notes To Be Sent On field and click Print. For more information, see Pre-Note Selection Register - Fields.

  3. Review and update the register.

    Note The Pre-Note Sent field in the Direct Deposits window is automatically set to Yes when you update the Pre-Note Selection Register, but prenotes are not sent until you complete the remaining steps to synchronize data with Sage 100 Direct Deposit.

  4. Select Payroll Direct Deposit menu > Process Direct Deposit.

  5. In the Process Employee Pre-Note and Direct Deposit Transactions window, select all applicable prenote batches.
  6. Click Synchronize and then sign in with your Sage ID (your email address). The Synchronizing Direct Deposit Data window displays the status of the synchronization.
  7. Wait 5 banking days for the prenotes to be approved. Then in the Process Employee Pre-Note and Direct Deposit Transactions window, click Synchronize.

For all employees with an approved prenote, the Pre-Note Sent field in the Employee Maintenance Direct Deposits window will be set to Approved.

The accounts are now ready for direct deposit. If a prenote is not approved, verify that the correct account information is entered and resend the prenote.

After an employee bank account is approved, you cannot change the employee number, employee first or last name, bank account number, account type, or routing/transit number of an account without again going through the Pre-Note process for that account. You can, however, change the amount to be deposited, the distribution method, the order of the accounts in the employee's record, and the description.
