Data files contain one or more records, and are assigned to specific file names. The following is a list of data file items and their definitions.

This column lists the file names of the Data Dictionary files contained in each module.

This column provides a description of the data files.

 

Expand/Collapse item  Type

This column lists the type of information stored in the file. The file types are explained below.

  • Data entry files can be used to import information that is subsequently updated to master file, transaction, and history-type files. You must print the associated data entry register and perform the update process to update the imported information to other files.

  • Master files contain constant and historical information that is referenced by other files. Data files that store constant and historical information can be imported directly. Some data fields, however, may contain data that must match information stored in other transaction files (for example, customer balance). These fields should not be imported directly.

  • History files contain historical information that can be used for inquiries or to print history reports. The historical information is not necessarily related to other accounting information and, therefore, can be imported directly.

  • Transaction files contain information that is directly related to accounting data. Transaction file types should not be imported directly. You should import data into data entry files first, and perform data entry updates to update the transaction file types.

 

Expand/Collapse item  Header/Line

This column describes how the files are organized. "Yes" indicates that the file is organized into header records and detail line records. When importing data into these files, you must specify how the information for the header and detail line records is stored in the import file.

 

Expand/Collapse item  Multi-Records

This column specifies whether the file contains multiple record types. "Yes" indicates that the file contains multiple record types. When importing data into these files, you must specify how each record type in the import file is identified.
