Print a Journal or Register as a PDF

You can store journals and registers as PDF documents that can be later viewed, e-mailed, and/or faxed from within Journal and Register Viewer.

  • Electronic delivery and PDF storage must be enabled for journals and registers in the Paperless Office Options window. For more information, see Set Up Paperless Office.

  • Journal and register PDF storage options must be set up in the Paperless Office Journal and Register Maintenance window. In the Auto Create PDF field, Yes or Prompt must be selected. For more information, see Journal and Register Maintenance.

Note PDF and electronic delivery settings are defined in Journal and Register Maintenance. Multiple settings can be defined for a single journal or register. For example, one setting can be defined for all journals and registers in all companies and all modules, and another setting can be defined for a specific journal in a specific company and module. To print a journal or register as a PDF

  1. In the journal or register printing task, click Print.

  2. If Yes is selected in the Auto Create PDF field for the journal or register in the Journal and Register Maintenance window, the PDF is automatically created. If Prompt is selected in the Auto Create PDF field, a message appears prompting you to print the journal or register in PDF format. Click Yes.

  3. If the Prompt for Associated PDF During Journal/Register Printing check box is selected in the Journal and Register Maintenance window, the Associated PDF window appears. Select the PDF to associate with the journal or register. For more information, see Associated PDF - Fields.

  4. If Prompt is selected in the Password Protect field in the Journal and Register Maintenance window, the PDF Password window appears. Define the password that will be used to open this PDF. For more information, see PDF Password - Fields.

The PDF is created and is launched in Acrobat Reader. If journals and registers are set up to be password-protected, you are prompted to enter a password to view the PDF.
