Select Production Management Menu > Work Ticket Transaction Entry.
Use Work Ticket Transaction Entry to enter all transactions against work tickets. You can record the material issues and labor entries, completion transactions, and closing transactions against work tickets.
Each work ticket is assigned a transaction number and transaction type.
Work ticket transactions can be entered by batch if the (Batch Processing) Enable check box for Transaction Entry is selected in Production Management Options . The batch method allows multiple data entry sessions to take place simultaneously, each with unique batch numbers assigned automatically or by the user.
During the batch print and update phases, other batches can be accessed for data entry and editing; however, only one user at a time can print and update the transaction journal.
After transactions are entered in this task, print the Work Ticket Transaction Register, and update the entries to the permanent files. A separate register for each transaction type is printed.
Enter a transaction number or click the Lookup button to list all transaction numbers. Click the Next Transaction No. button to use the next available transaction number that is set in Production Management Options.
Select the type of transaction that you're entering.
- Select Completion to record the completion of all or part of the finished product being produced for a work ticket and add the completed quantity into inventory.

Select Closing to record the completion of all or part of the finished product being produced for a work ticket and add the completed quantity into inventory and to close the work ticket.
A closing transaction purges the work ticket from the Open Work Ticket file and updates the Work Ticket History file.
Completion quantities can also be recorded within a closing transaction. When completion quantities are entered in a closing transaction, the work ticket is closed after all completion, materials, and labor transactions for the selected work ticket are processed by the Work Ticket Transaction Register update.
All remaining work in process will be cleared out of the work ticket when a closing entry is updated.
- Select Labor to record the labor hours expended for a work ticket.

Select Materials to record the issue of materials from the warehouse to the shop for a work ticket. You'll be able to add any material from inventory, whether it was planned or not. You can also add special and miscellaneous items.
Material issues can be recorded for only one work ticket per transaction, which is why you select the work ticket on the Header tab instead of the Lines tab.
Note Materials issues can be recorded only for work tickets with a status of Released.
Enter a work ticket number. Click the Lookup button to list all work ticket numbers.
This field is available if Labor or Materials is selected in the Transaction Type field.
Enter the date of the transaction or click the Calendar button to select a date from the calendar.
Enter a comment related to the transaction. The comment appears on the Work Ticket Transaction Register.
The buttons located above the primary grid allow you to view extended text for items, move up and down within the grid, and insert and delete rows. In addition you can:
- Click the Alias Item button to display all alias item numbers.

Click the Original Item List button to view the materials list for the selected work ticket.
This button is available if there is no item code entered for the current line.
- Click the Select Phantom Bill button to import components from a phantom bill. This button is available when the Bill of Materials module is integrated with Production Management and there is no item code entered for the current line.
- Click the Item Quantity Inquiry button to open the Item Quantity Inquiry window. Next to the Item Quantity Inquiry button, click the drop-down arrow and select an option to view additional information for inventory items.
- Click the Extended Item Description button to open the Item Text Maintenance window.

Click the Lot/Serial Distribution button to distribute lot and serial numbers or to display lot and serial numbers that are already distributed for the current line item. If lot or serial numbers are distributed, this button appears yellow.
- Click the Materials Transaction No. button to display the backflush materials transaction generated by the completion transaction.

Click the Labor Transaction No. button to display the backflush labor transaction generated by the completion transaction.
Quick Row
This field displays the number of the selected row in the primary grid. Additional fields for the selected row appear in the secondary grid. Enter a row number to view or edit information for a different row, or click the Find Row button to search for a row in the Search Grid window.
Materials Transactions
Enter an item code. Click the Lookup button to view all item codes.
- Click the Alias Item button to display all alias item codes.
- Click the Original Item List button to view the materials list for the selected work ticket.
- Click the Select Phantom Bill button to explode phantom bill components. Phantom and engineering bill types cannot be used.
- Click the Item Quantity Inquiry button to view information about the item's quantity on hand in the warehouse(s), on sales orders, purchase orders, work tickets, and so forth.
- Click the down-arrow next to the Item Quantity Inquiry button to view a menu of related tasks that you can open. The button is available after you've entered an item code.
- To view the Comments List, type /C and press F2. To view comments and miscellaneous items, type a slash ( / ) and press F2.
Accept the default step number if a material is selected from the Original Item List window or enter the step number in which the material is issued. Click the Lookup button to list all step numbers for the selected work ticket number.
If a material was selected from the Original Item List window, this field displays the required quantity; otherwise, zero appears. This field can only be viewed.
Enter the issued quantity for the material. If this transaction was created from a completion transaction using the backflush feature, the issued quantity automatically appears in this field, but it can be changed.
For inventory items using the Lot or Serial valuation method, click the Lot/Serial Distribution button to distribute the lot or serial number items to the work ticket step.
This field is not available for miscellaneous comment item codes.
Enter a comment for the material line.
Enter a warehouse code. Click the Lookup button to view all warehouse codes.
- The warehouse assigned to the material on the Materials tab in Work Ticket Entry is the default value in this field if the material was selected from the Original Item List window.
- The warehouse code entered in the Materials Warehouse field on the Header tab in Work Ticket Entry is the default value in this field if an item code is entered in the Item Code field and the Use Item Default Warehouse for Materials check box in Production Management Options is cleared.
- The default warehouse code entered in Item Maintenance is the default value in this field if an item code is entered in the Item Code field and the Use Item Default Warehouse for Materials check box in Production Management Options is selected.
Enter a description for the item.
This field displays the description for the step number and can only be viewed.
For inventory items, the unit cost based on the entry in the Default Materials Budget Cost field in Production Management Options is displayed in this field and can only be viewed.
The actual cost at which the inventory item is issued to the work ticket and relieved from inventory is determined when the Work Ticket Transaction Register is updated.
This field is available for miscellaneous and special items and if a negative number is entered in the Issued field.
Enter a unit of measure. Click the Lookup button to view all units of measure.
If an alias item number was used to select the inventory item, the number is displayed in this field and can only be viewed.
If an alias item number was used to select the inventory item, the description is displayed in this field and can only be viewed.
Select this check box to calculate materials overhead using the settings entered in Work Ticket Class Maintenance for the class assigned to the work ticket. Clear this check box if you do not want to calculate materials overhead costs.
Labor Transactions
Enter the step number for the labor transaction. Click the Lookup button to list all step numbers for the selected work ticket number.
Enter the activity code. Click the Lookup button to list all activity codes.
Enter the work center. Click the Lookup button to list all work centers.
The work center assigned to the activity code entered appears by default, but it can be changed. However, you must enter a work center that is associated with the current activity code in Activity Code Maintenance.
Enter the labor hours for the current step.
This field displays the description for the step number and can only be viewed.
Completion and Close Transactions
Enter the work ticket number assigned the finished good that's been completed. Click the Lookup button to list all released work ticket numbers.
This field displays the description of the parent item and can only be viewed.
Select a costing method for the transaction.

Select Actual to base the completion unit cost on the actual cost that has occurred up until the completion transaction is updated but excluding the actual cost that has occurred prior to and recognized on the last updated completion transaction.
Costs include:
- Materials issued in Work Ticket Entry, Work Ticket Transaction Entry, and Purchase Order Receipt of Goods entries that have been updated
- Updated labor transactions entered in Labor Entry and Work Ticket Transaction Entry
- Direct costs from Accounts Payable invoices
- Select Budget to base the completion unit cost on the revised total budget cost assigned to the work ticket.
- Select Lower of Budget/Actual to base the completion unit cost on the lower of either the budget or actual unit cost value.
- Select Standard to base the completion unit cost on the parent item's standard unit cost.
Note Costs are not calculated when a completion or close transaction is created. Costs are calculated when the Work Ticket Transaction Register is updated.
Enter the number of the finished good that's been completed.
Important If you're closing the work ticket, verify that the correct work ticket is selected and that all transactions have been created. A closed work ticket cannot be reopened. Finished goods updated to inventory do not include the costs from transactions that are updated after the work ticket is closed.
This field displays the finished product item code and can only be viewed.
This field displays the finished product description and can only be viewed.
This field displays the parent item's warehouse code entered in the Parent Warehouse field in Work Ticket Entry.
This field displays the finished product's unit of measure entered on the Header tab in Work Ticket Entry.
Select one of the following options:
- Select Inventory if the finished product was made for inventory.
- Select Work Ticket if the finished product was made for another work ticket.
- Select Sales Order if the finished product was made for a sales order.
Note All completed products are received into inventory regardless of the selection in this field. The finished product is not issued to another work ticket or a sales order when a completion transaction is updated by the Work Ticket Transaction Register update.
If Sales Order is selected in the Make For field, enter the number of the sales order that the finished product was made for. Click the Lookup button to list all open sales order numbers.
After the sales order number is entered, the S/O Line List window opens. Select the sales order line item that the work ticket finished product will be assigned to.
The Sub Item Code, Sub Whse Code, and Unit of Measure fields are updated with the values from the selected line item.
This field is available if Sales Order is selected in the Make For field.
If Work Ticket is selected in the Make For field, enter the work ticket number that the finished product was made. Click the Lookup button to list all open work ticket numbers.
For Completion transactions, select this check box to close the work ticket after the completion transaction is updated by the Work Ticket Transaction Register update.
Note Completion and closing transactions can be recorded in the same transaction record. If this check box is selected, the work ticket is closed after completion, materials, and labor transactions for the selected work ticket are updated by the Work Ticket Transaction Register update.
For close transactions, this check box is automatically selected and can only be viewed.
Enter an inventory or special item code. Click the Lookup button to list all inventory items. The finished product's item code entered on the Header tab in Work Ticket Entry is the default entry, but it can be changed.
- Inactive, miscellaneous, charge, and comment items cannot be entered in this field.
- Alias item numbers can be established for inventory items from this field. The item entered in this field is the item that will be received into inventory.
- Click the Alias Item button to display all alias item codes.
- Right-click and select Item Maintenance to view inventory item information.
- Next to the Item Quantity Inquiry button, click the drop-down arrow and select Alternate Item to select an alternate item in the Alternate Item Selection window.
- A new item can be added on the fly if you have the appropriate security setup. A window similar to the Item Maintenance window opens; however, some non-essential fields are omitted to speed data entry.
This field displays the description of the item entered in the Sub Item Code field. Click in this field to open the Item Text Maintenance window and edit the description.
Enter a warehouse code. Click the Lookup button to list all warehouse codes.
If the Use Item Default Warehouse for Parent Item check box in Production Management Options is selected, the default warehouse code entered in Item Maintenance is the default in t this field. If the check box is cleared, the warehouse code entered in the Parent Warehouse field in the Work Ticket Entry is the default code.
This field displays the quantity planned for the selected work ticket number and can only be viewed.
This field displays the total quantity completed from updated completion transactions for the selected work ticket. This value does not include quantities from unposted completion or closing transactions that exist in this task.
This field can only be viewed.
Enter the quantity to complete. The value in the Quantity field is entered in this field by default.
This field can only be viewed if the item coded entered in the Item Code field is also entered in the Sub Item code field.
If zero is entered in the Qty to Complete field, enter the unit cost of the by-product created by the completion transaction.
This field is available if the substitute item code is different than the primary item code and the quantity to complete is zero.
Enter a unit of measure. Click the Lookup button to view all units of measure.
This field displays the alias item description if an alias item is entered in the Sub Item Code field.
Select this check box to designate the completion transaction as a scrap transaction for the selected work ticket.
When this check box is selected:
- The finished product’s original information is entered in the Sub Item Code, Sub Item Desc, Sub Whse Code, and Unit of Measure fields
- The From Step No. is available and the first step number for the selected work ticket is the default entry.
- The To Step No. field is available and the last step number for the selected work ticket is the default entry.
- The Scrap Unit Cost field is available.
Enter a step number. Click the Lookup button to list all step numbers for the selected work ticket.
When the Scrap check box is selected, the first step number is automatically entered in this field, but it can be changed.
A completion transaction is considered a scrap by step transaction when:
- The Scrap check box is selected.
- A value greater than zero is entered in the Quantity field.
- Zero is entered in the Scrap Unit Cost field.
The costing method selected in the Cost Method field and the range of steps defined in this field and the To Step No. field are used to calculate scrap total cost.
The value entered in the Quantity field is then used to calculate a scrap unit cost for the finished product quantity being scrapped.
This field is available only if the Scrap check box is selected.
Enter a step number. Click the Lookup button to list all step numbers for the selected work ticket.
When the Scrap check box is selected, the last step number is automatically entered in this field, but it can be changed.
A completion transaction is considered a scrap by step transaction when:
- The Scrap check box is selected.
- A value greater than zero is entered in the Quantity field.
- Zero is entered in the Scrap Unit Cost field.
The costing method selected in the Cost Method field and the range of steps defined in the From Step No. field and this field are used to calculate scrap total cost.
The value entered in the Quantity field is then used to calculate a scrap unit cost for the finished product quantity being scrapped.
This field is available only if the Scrap check box is selected.
Enter a cost amount to scrap the finished good using based on the specified cost. Accept the default value (zero) when entering a scrap-by-step transaction.
The total scrap cost is calculated by multiplying the value in the Quantity field by the value entered in this field.
If a value other than zero is entered in this field, the values entered in the From Scrap No, To Scrap No. and Cost Method fields are ignored when the scrap cost is calculated during the Work Ticket Transaction Register update.
This field is available when the Scrap check box is selected and a value greater than zero is entered in the Quantity field.
Enter the scrap total cost to be recognized for the selected work ticket if you don't want to use the values in the From Scrap No., To Scrap No., Scrap Unit Cost, and Cost Method fields to calculate the scrap costs. Those fields will then be ignored in the calculation of scrap cost when the Work Ticket Transaction Register is updated.
The total scrap cost is updated to the Work In Process and Scrap accounts assigned in Work Ticket Class Maintenance without changing the quantity completed on the work ticket and quantity on hand for the finished product in inventory.
This field is available if zero is entered in the Quantity field and the Scrap check box is selected.
