Use these procedures to purge data from the CRM Activity Log and the CRM order/quote tracking file.

Data can be purged from the CRM Activity Log based on the date the activity was recorded. You can purge data for some or all Sage 100 companies and CRM instance IDs.

The order/quote tracking file is a list of sales orders and quotes created from the Sage CRM system. Entries in the tracking file are not deleted when quotes are converted to orders or when sales orders are completed; they remain on file until they are purged.

When you purge CRM order/quote tracking entries, only entries that have no related entries in other files are purged. If an order or quote is still active, or if the Retain Sales Orders/Quote History check box is selected in Sales Order Options and records exist in history that match the order/quote tracking entry, the entry is not purged even if it has a date that is before the purge date.

Purging history is useful for storage performance and when your hard disk is nearing its storage capacity limit.

Use the following procedures to purge the CRM Activity Log and order/quote history.

To purge the CRM Activity Log

To purge CRM order/quote tracking history

 

To purge the CRM Activity Log

  1. Select Customer Relationship Management Utilities menu > Purge CRM Activity Log.

  2. In the Remove CRM Activity Dated on or Before field, enter the date to use for removing CRM activity. All CRM activity dated on or before this date will be permanently removed from the CRM Activity Log. For more information, see Purge CRM Activity Log – Fields.

  3. Use the Selections grid to purge data only for a specific company or Sage CRM instance ID. For information on using the Value field to select more than one company or Sage CRM instance ID, see Enter Multiple Values Using Separators.

  4. Click Proceed. When prompted to remove CRM activity, click Yes.

CRM activity log information is permanently removed from the CRM Activity Log, and the System Activity Log is updated with the date, time, company code, user logon, purge description, and purge date.

 

To purge CRM order/quote tracking history

  1. Select Customer Relationship Management Utilities menu > Purge CRM Order Quote Tracking.

  2. In the Remove Tracked CRM Order/Quote History Dated on or Before field, enter the date to use for removing CRM order and quote tracking history. All CRM order and quote history dated on or before this date will be permanently removed from the CRM order/quote tracking file. For more information, see Purge CRM Order/Quote Tracking – Fields.

  3. Use the Selections grid to purge history only for a specific company. For information on using the Value field to select more than one company, see Enter Multiple Values Using Separators.

  4. Click Proceed. When prompted to remove tracked CRM orders and quotes, click Yes.

CRM order and quote tracking history is permanently removed from the CRM order/quote tracking file, and the System Activity Log is updated with the date, time, company code, user logon, purge description, and purge date.
