Enter the role name, or click the Lookup button to list all existing roles.

1. Tasks

 

Use the Tasks tab to assign security permissions or to allow or restrict access to modules and tasks for the current role. Initially, all check boxes on the Tasks tab are defaulted to a cleared setting.

Select the Sage 100 check box to select all of the tasks. Select the check box next to a module to select all of the task types for that module. Select the check box next to a specific task to specify that all of the security permissions for that task are allowed. Clear check boxes to restrict access to tasks or to specify that security permissions for tasks are not allowed.

Note Double-click the Sage 100 check box to expand or collapse the tasks tree view.

Some modules offer the Access/No Access method for setting security permissions, while other modules allow you to set more refined levels of security permissions. The following section lists the refined level security permissions that are available for some modules.

  

Security permissions for maintenance/data entry tasks:

Create

Allows the user to create new entries. The Modify and View security permissions are assumed if this check box is selected.

Modify

Allows the user to modify existing entries. The View security permission is assumed if this check box is selected.

Remove

Allows the user to delete entries. The View security permission is assumed if this check box is selected.

View

Allows the user to only view entries.

 

Note Setup option tasks can only use the Modify and View security permissions.

Note If you select the Create security permission and clear the Modify and View security permissions for a task, the Modify and View security permissions will be selected the next time you access the Tasks tab. This occurs because the Modify and View security permissions are assumed when you select the Create security permission.

 

Security permissions for update tasks:

Update

Allows the user to update entries. The Print attribute is assumed if this check box is selected.

Print Only

Allows the user to print update reports, but not update files.

 

Security permissions for set up tasks:

Modify

Allows the user to modify existing entries. The View security permission is assumed if this check box is selected.

View

Allows the user to only view entries.

 

2. Security Events

 

Use the Security Events tab to assign security events for the current role. Initially, all check boxes are defaulted to a cleared setting on the Security Events tab. Select the Sage 100 check box to select all of the security events. Select the check box next to a module to select all of the security events for that module. Select the check box next to a specific security event to assign it for the current role. Clear check boxes to specify which security events are not assigned for the current role.

Note Double-click the Sage 100 check box to expand or collapse the security events tree view.

Some modules offer the Allow Supervisor Rights security event, while other modules allow you to assign individual security events.

The following section lists the common and module-specific security events available for some modules.

Description

Allow to Override Status Selections in Job Status Maintenance Allows the user to enter a job number in a data entry task even if the job's status is not allowed in Job Status Maintenance.

Security Events

Description

Allow Access to All Scheduled Tasks Allows the user to access all task scheduling jobs in Task Scheduler. If this security event is disabled, the user can view only the jobs for the workstation.

Allow Accounting Date Beyond One Future Period

Allows the user to set the accounting date beyond one future period.

Note To restrict the accounting date to the current and one future period, you must clear this check box and select the Restrict Accounting Date to Current and One Future Period check box in Company Maintenance.

Allow Override of Credit Card on Credit Memo

Allows the user to override the credit memo amount to be greater than the credit card transaction total of payments made by credit card in A/R Invoice Data Entry and S/O Invoice Data Entry. Additionally, a card other than the one currently applied against the invoice for the customer can be used to credit the credit card to adjust the invoice balance.

Allow Public Tasks for Editing

Allows the user to edit public tasks.

Allow Purging of Activity Log Allows the user to purge information from the Activity Log.

Allow to Override Credit Card Authorization

Makes the Fix button available on the Credit Card tab in A/R Invoice Data Entry, Cash Receipts Entry, Sales Order Entry, and S/O Invoice Data Entry. The Fix button allows the user to make changes to the credit card transaction.

Allow to Void/Re-authorize Credit Card Transactions Allows the user to void or reauthorize credit card transactions.
Allow User to Access Credit Card Processing Application Form When a company is not set up for credit card processing with Sage Payment Solutions, allows the user to access the application form from the web page that appears when launching the Sage Payment Center.
Allow User to Access File Maintenance Utilities Allows the user to access and run the Library Master file utilities.

Allow User to Access Menu Wizard

Allows the user to access the Menu Wizard to add reports to Report Manager.

Allow User to Access Payment Center Allows the user to access the Sage Payment Center.

Allow User to Lock/Unlock Users in User Maintenance

Allows the user to lock and unlock users in User Maintenance using the User Account Locked field.

Allow Users to Terminate Tasks in Master Console (Sage 100 Advanced only) Allows the user to terminate tasks from Master Console.

Enable File Run

Allows the user to launch programs from File > Run.

Full Access to Private Reports for All Modules Allows the user to access private report settings. This security event affects the Type field in a report window, which allows only the user who created the report setting to have access to the report setting. Additionally, only the user who created the report setting can delete and save changes to the report setting.
Full Access to Read Only Reports for All Modules Allows the user to modify and delete read-only type report settings. This security event affects the Type field in a report window, which allows all users to change the report setting, print the report, and save the report setting to another report setting. Only the user who created the report setting can save changes or delete the report setting.

Description

Allow Supervisor Rights

Select the Allow Supervisor Rights check box to assign supervisor rights to the current role. This security event allows users to perform the following:

  • Update journals and registers from the Preview window without printing a hard copy of the register.

  • View hidden commands, such as Fix, Period, and One.

 

3. Module Options

Use the Module Options tab to assign module options for the current role. Initially, all check boxes on the Module Options tab are defaulted to a selected setting. Select the check box next to each option you want to allow. Clear the check box next to each option you do not want to allow.

Allow Access to All Item Inquiry Tabs Including Main and Quantity Allows the user to have access to Item Inquiry. If cleared, the Additional, History, Transaction, Orders, and Cost Detail tabs in Item Inquiry are disabled. Additionally, the drop-down menu and Print buttons will also be disabled.
Allow Access to Costing, Receipts, and Vendor Information in Item Inquiry Allows the user to view information for the Last Sold, Average Cost, and Last Receipt fields in Item Inquiry. The Transactions tab, and Print button will be enabled. Additionally, the Sales and Receipts options, and the Compare PY, Transaction Detail, Customer Sales History, and Vendor Receipt History buttons on the History tab will be available. The Vendor No. and Vendor Name columns and drill-down to the order on the Orders tab will be available. The cost columns on the Cost Detail tab will be available. Access to the Item Vendors Maintenance window from the drop-down menu will also be enabled.

Display Vendor Information in Item Inquiry Allows the user to view vendor information in Item Inquiry, such as the Primary Vendor field on the Main tab, the Vendor No. and Vendor Name columns on the Orders tab, and the Vendor button on the drop-down menu. Additionally, the Print button will be enabled.

Allow to Modify Comments on Item Lines in Shipping When selected, allows the user to add or edit comments for items in Shipping Data Entry. When cleared, allows the user to add or edit comments for items in Shipping Data Entry only if a valid logon and password are entered.
Allow to Modify Miscellaneous Fields in Shipping When selected, allows the user to change the warehouse, unit of measure, ship-to address, ship via, and backordered quantity in Shipping Data Entry. When cleared, allows the user to change these fields only if a valid logon and password are entered.
Allow to Overship Invoice in Shipping When selected, allows the user to enter a shipped quantity that exceeds the ordered quantity in Shipping Data Entry. When cleared, allows the user to enter a shipped quantity that exceeds the ordered quantity in Shipping Data Entry only if a valid logon and password are entered.
Allow to Use Alternate Items in Shipping When selected, allows the user to replace an existing item with an alternate item in Shipping Data Entry. When cleared, allows the user to replace an existing item with an alternate item in Shipping Data Entry only if a valid user logon and password are entered.
Allow Warranty Override in S/O and R/A Data Entries Allows the user to override the warranty during Sales Order and Return Merchandise Authorization data entry if a valid logon and password are entered.
Display Vendor Number in Sales Order Entries Allows the user to display the vendor number in Sales Order Entry.

 

4. SData Security

Use the SData Security tab to assign SData security permissions and allow access to individual data tables. Select the Sage 100 check box to select all of the SData security permissions. Select the check box next to a module to select all of the SData security permissions for that module. Select the check box next to a specific table to allow access to the current role. Clear check boxes to specify which SData security permissions are not assigned for the current role.

Note Double-click the Sage 100 check box to expand or collapse the SData security tree view.

SData security is available only if the Enable Native SData Provider and Access within Role Maintenance check box is selected in System Configuration.

The following section lists the security permissions that are available for the data tables.

  

Security permissions for data tables:

Create

Allows the user to create new entries.

Read

Allows the user to view entries.

Update

Allows the user to update existing entries.

Delete

Allows the user to delete entries.

 

5. ODBC Security

Note This tab is not available for Sage 100 Premium.

Use the ODBC Security tab to assign ODBC security permissions and allow access to individual data tables and fields. Select the Sage 100 check box to select all of the ODBC security permissions. Select the check box next to a module to select all of the ODBC security permissions for that module. Select the check box next to a specific table or field to allow access to the current role. Clear check boxes to specify which ODBC security permissions are not assigned for the current role.

Note Double-click the Sage 100 check box to expand or collapse the ODBC security tree view.

ODBC security is available only if the Enable ODBC Security within Role Maintenance check box is selected in System Configuration.
