Work Order Transaction Entry

Transaction No.

Enter the transaction number, or click the Lookup button to list all transaction numbers. Click the Next Transaction No. button to accept the next automatically incremented transaction number.

 

Type

Select the transaction type that defines this transaction.

  • Select Release to change the status of a work order from firm planned to released.

  • Select Material Issue to record the issue of component inventory items from the warehouse to the shop for individual work orders.

  • Select Labor to record the labor hours expended on a work order.

  • Select Misc. Labor Charge to post labor charges not related to specific employees to work orders.

  • Select Misc. Material Charge to charge noninventory material costs to a work order.

  • Select Outside Processing Charge to post charges for work performed by outside vendors.

  • Select Completion to record the completion of all or part of the finished product being produced by a work order.

  • Select Close Work Order to close a work order.

Your selection in this field determines the options available on the Header and Lines tabs.

Note If material, labor, or outside processing transactions have been automatically generated, *AUTO-GENERATED* appears in red on the Lines tabs.

 

1. Header

 

Transaction Date

Enter the date that this transaction was performed. This date prints on reports for this group of transactions.

 

Employee/Crew No.

Enter the employee number for the production employee against whom labor charges will be issued or type CREW followed by the crew number to indicate the labor crew against which labor charges will be issued. Click the Lookup button to list all production employee numbers. Click the Search button to list all labor crews. This field is available only if Labor is selected in the Type field.

 

Work Order Number

Enter the work order number for the employee labor to be charged, or click the Lookup button to list all released work order numbers. Only released work orders can be entered. If Yes or Maintenance is selected in the Allow Memo Inquiry from Data Entry field in Work Order Options, click the Work Order Memo button to open Work Order Memo Maintenance to maintain memos for this work order. This field is available only if Labor is selected in the Type field and a crew number is entered in the Employee/Crew No. field.

 

Item

This field displays the item code associated with the selected work order and can only be viewed. This field is available only if Labor is selected in the Type field and a crew number is entered in the Employee/Crew No. field.

 

Step Number

Enter the step or substep number against which the labor transaction will be charged, or click the Lookup button to list all step and substep numbers for the current work orde. You can use up to four digits for a step number, or enter a substep number using the ####-x-#### (step-prefix-step) format if the Bill of Materials module is installed. This field is available only if Labor is selected in the Type field and a crew number is entered in the Employee/Crew No. field.

 

Work Center

Enter the work center code assigned to the step, or enter the work center code where the labor was performed. Click the Lookup button to list all work centers. This field is available only if Labor is selected in the Type field and a crew number is entered in the Employee/Crew No. field.

 

Operation Code

Enter the operation code assigned to the work center, or enter a different operation code. Click the Lookup button to list all operation codes for this work center. This field is available only if Labor is selected in the Type field and a crew number is entered in the Employee/Crew No. field.

 

Start Date

Type the date that the operation was started. This field is available only if Labor is selected in the Type field and a crew number is entered in the Employee/Crew No. field.

 

Start Time

Type the time that the operation was started. If you do not know the start time and prefer to enter the total hours for the transaction, enter 0 (zero) and enter the total number of hours not to exceed 24 hours in the Stop Time field. This field is available only if Labor is selected in the Type field and a crew number is entered in the Employee/Crew No. field.

 

Stop Date

Type the date that the operation was finished. This field is available only if Labor is selected in the Type field and a crew number is entered in the Employee/Crew No. field.

 

Stop Time

Type the time that the operation was finished. If you entered 0 (zero) in the Start Time field, you can enter the total number of hours for the transaction not to exceed 24 hours.

There are two ways to reverse labor hours when the start and stop date are the same or for a range of days.

  • Enter a negative total number of hours in the Stop Time field.

  • Enter a start and stop time, and enter a negative 1.00 (-1.00) in the Qty Completed field.

This field is available only if Labor is selected in the Type field and a crew number is entered in the Employee/Crew No. field.

 

Qty Completed

Type the quantity of components completed during the time period entered in the Start Time and Stop Time fields. This field is available only if Labor is selected in the Type field and a crew number is entered in the Employee/Crew No. field.

 

Step Completed

Select this check box if this step is completed. The status of this step will be updated automatically in Work Order Inquiry. Clear this check box if the step is not completed. This check box is available only if Labor is selected in the Type field and a crew number is entered in the Employee/Crew No. field.

 

2. Lines

 

Work Order No.

Enter the work order number for the transaction, or click the Lookup button to list all work order numbers, or all released work order numbers if anything other than Release is selected in the Type field. If Yes or Maintenance is selected in the Allow Memo Inquiry From Data Entry field in Work Order Options, click the Work Order Memo button to open Work Order Memo Maintenance to maintain memos for this work order.

Note You cannot release a work order if the Order on Hold check box is selected in Work Order Entry for the current work order.

Warning If you are closing a work order, verify that the correct work order is being closed when you enter the work order number. After a work order is closed, it cannot be reopened, and all remaining costs are purged from work in process.

Material Issue is selected in the Type field.

The work order number for the employee labor to be charged. Only released work orders can be entered.

Labor is selected in the Type field.

The work order number for the work order against which the labor, material, or outside services will be charged.

Misc. Labor Charge, Misc. Material Charge, or Outside Processing Charge is selected in the Type field.

The work order number for the released work order to complete.

Completion is selected in the Type field.

The work order number for the work order to close. When you enter a work order number, the Item/Bill Number and Description, Revision, and Options fields will display the appropriate information entered for this work order automatically. In addition, the quantity planned, quantity completed, quantity transferred, and scrap cost are displayed. This information can only be viewed.

Close Work Order is selected in the Type field.

 

Line Detail

Select a line item to modify or delete. Enter any new information in the appropriate fields. Click Ins to insert a line for an entry. Click OK to accept data for a line. Click Undo to cancel changes for a line.

 

Step No.

Enter the step number against which the material issue will be charged, or click the Lookup button to list all step numbers for the current work order. The step description is displayed for reference in the Step Description field. The standard cost is displayed for reference in the Std. Cost field. This field is available only if Material Issue is selected in the Type field.

 

Substitute Material

Select this check box if the material being issued to the work order is a substitute item for the component originally planned for the work order. Clear this check box if the material being entered is not a substitute item. This check box is available only if Material Issue is selected in the Type field.

 

Item Code

Enter the inventory item code, or bill number if Bill or Materials is installed, of the material to be issued. Click the Lookup button to list all inventory items.

Alternately, start typing an item description to locate an item. As you type, a list of records matching your entry appears. You can then select an item from the list, and the item code will appear in the field.

Click the Work Order Step Items List button to list all items that are defined for this work order and step. Click the Phantom Bill List button to list all phantom bills. The item description is displayed for reference in the Item Description field. This field is available only if Material Issue is selected in the Type field.

Note The system does not check whether the Inactive Item check box in Item Maintenance is selected for items entered in this field. Inactive items will appear in the Item List window when you click the Lookup button. To help distinguish which items are inactive, you can create a custom lookup view and add the InactiveItem field. For more information, see Create a Lookup View.

 

Whse

Enter the warehouse code of the issuing warehouse, or click the Lookup button to list all warehouse codes. This field is available only if the Require Multiple Warehouses check box is selected in Inventory Management Options and if Material Issue is selected in the Type field.

 

U/M

Enter the unit of measure to use for the inventory item entered, or click the Lookup button to list units of measure. This field is available only if Material Issue is selected in the Type field.

 

Issue Qty

Type the quantity of the item to be issued. If you enter a positive value, the quantity entered is issued from inventory to the work order. If you enter a negative value, the quantity of excess material entered is returned from the work order back into inventory. This allows you to return by-products to inventory that are created as a result of the manufacturing process. This field is available only if Material Issue is selected in the Type field.

Note If you enter a positive issue quantity, the item quantity will be issued from the warehouse specified. If you enter a negative value, the item quantity will be issued to the warehouse specified. If you enter a negative issue quantity, you can issue the item to a new lot or serial number if you are returning a by-product to inventory.

 

Orig Item Number

Enter the item number of the item originally committed to this work order, or click the Lookup button to list all item numbers committed to this work order and step number. During the update, the original item number commitment entered is reduced in inventory. This field is available only if Material Issue is selected in the Type field.

Note The original item number entered can be the same as the substitute material item number as long as the warehouse codes are different. This facilitates the issuance of material from one warehouse, while reducing the commitment of the same material from another warehouse.

Note The system does not check whether the Inactive Item check box in Item Maintenance is selected for items entered in this field. Inactive items will appear in the Item List window when you click the Lookup button. To help distinguish which items are inactive, you can create a custom lookup view and add the InactiveItem field. For more information, see Create a Lookup View.

 

Orig Item Description

This field displays the original item description and can only be viewed. This field is available only if Material Issue is selected in the Type field.

 

Orig Whse

Type the warehouse code of the warehouse that was planned to issue the original item. This field is available only if Require Multiple Warehouses check box is selected in Inventory Management Options or if the item entered in the Orig. Item field is committed in more than one warehouse against this work order or step. This field is also available only if Material Issue is selected in the Type field.

 

Orig U/M

Type the unit of measure to use for the original item. This field is available only if Material Issue is selected in the Type field.

 

Orig Qty

Type the original item quantity being replaced by the substitute material item quantity. This field is available only if Material Issue is selected in the Type field.

 

Step Number

Enter the step or substep number against which the labor transaction, or the labor, material, or outside services will be charged. This field is available only if Labor, Misc. Labor Charge, Misc. Material Charge, or Outside Processing Charge is selected in the Type field.

 

Oper. Code

Enter the operation code assigned to the work center, or enter a different operation code. Click the Lookup button to list all operation codes for this work center. This field is available only if Labor, Misc. Labor Charge, Misc. Material Charge, or Outside Processing Charge is selected in the Type field.

 

Start Date

Type the date that the operation was started. This field is available only if Labor is selected in the Type field.

 

Start Time

Type the time that the operation was started. If you do not know the start time and prefer to enter the total hours for the transaction, enter 0 (zero) and enter the total number of hours in the Stop Time field. This field is available only if Labor is selected in the Type field.

 

Stop Date

Type the date that the operation was finished. This field is available only if Labor is selected in the Type field.

 

Stop Time

Type the time that the operation was finished. If you entered 0 (zero) in the Start Time field, you can enter the total number of hours for the transaction.

There are two ways to reverse labor hours when the start and stop date are the same or are a range of days.

  • Enter a negative total number of hours in the Stop Time field.

Qty Completed

Type the quantity of components completed during the time period entered in the Start Time and Stop Time fields. This field is available only if Labor is selected in the Type field.

 

Labor/Material Description / Product/Service Provided

Type a description of the miscellaneous labor or material charges being applied to the work order or products/services that the outside vendor has provided. This field is available only if Misc. Labor Charge, Misc. Material Charge, or Outside Processing Charge is selected in the Type field.

 

Date

Type the date that the transaction was performed. This field is available only if Misc. Labor Charge, Misc. Material Charge, or Outside Processing Charge is selected in the Type field.

 

Cost

Type the cost charged to the work order. The cost can be entered as a positive or negative number. A positive number posts against the work order. A negative number removes the cost from the work order. This field is available only if Misc. Labor Charge, Misc. Material Charge, or Outside Processing Charge is selected in the Type field.

 

Vendor No. (Outside)

Enter the number of the vendor who provided the products or services for this work order, or click the Lookup button to list all vendors.

Alternately, start typing a vendor name to locate a record. As you type, a list of records matching your entry appears. You can then select a record from the list, and the vendor number will appear in the field.

If you enter a vendor whose status is set to Inactive in Vendor Maintenance, a message appears warning that the vendor is inactive and cannot be used.

This field is available only if the Accounts Payable module is installed and Outside Processing Charge is selected in the Type field.

 

Vendor Name (Outside)

This field displays the vendor name and can only be viewed. This field is available only if Outside Processing Charge is selected in the Type field, and if the Accounts Payable module is installed.

 

Complete to

Select the method to use to complete items for the current work order. The Sales Order method is available only if the Sales Order check box is selected in the Integrate Work Order with field in Work Order Options. This field is available only if Completion is selected in the Type field.

 

Complete Item No.

Enter the inventory or special item code of the item being completed, or click the Lookup button to list all item codes.

Alternately, start typing an item description to locate an item. As you type, a list of records matching your entry appears. You can then select an item from the list, and the item code will appear in the field.

To enter a special item code, type an asterisk (*) followed by alphanumeric characters. This field is available only if Completion is selected in the Type field.

Note The system does not check whether the Inactive Item check box in Item Maintenance is selected for items entered in this field. Inactive items will appear in the Item List window when you click the Lookup button. To help distinguish which items are inactive, you can create a custom lookup view and add the InactiveItem field. For more information, see Create a Lookup View.

 

Quantity

Type the quantity of the item to be completed. This field is available only if Completion is selected in the Type field.

Note The placement of the decimal point for quantity entries for inventory items is based on the entry format established in Common Information Options.

 

U/M

Enter a unit of measure for the quantity entered, or click the Lookup button to list all units of measure. This field is available only if Completion is selected in the Type field.

 

Warehouse

Enter the warehouse code of the warehouse that will receive the finished items, or click the Lookup button to list all warehouse codes. This field is available only if the Require Multiple Warehouses check box is selected in Inventory Management Options, and if Completion is selected in the Type field.

 

Costing

This field displays the costing method of the item and can only be viewed. This field is available only if Completion is selected in the Type field.

 

Sales Order / Work Order

If you selected Sales Order in the Complete to field, enter the sales order number that the work order will be completed to, or click the Lookup button to list all open sales orders.When the sales order number is entered, the customer name displays for reference in the Customer field.

If you selected Work Order in the Complete to field, enter the released work order number that the work order will be completed to, or click the Lookup button to list all released work order numbers. When the work order number is entered, a list of the step numbers assigned to the work order appears. After you select a step number, the number will display in the Step field for reference.

These fields are available only if Completion is selected in the Type field.

 

First Step

Enter the step number of the first step completed for this work order for the parts being scrapped, or click the Lookup button to list all step numbers for this work order. This field is available only if Completion is selected in the Type field and Scrap is selected in the Complete to field.

 

Last Step

Enter the step number of the last step completed for this work order for the parts being scrapped, or click the Lookup button to list all step numbers for this work order. Accept step 9999 if the parts were routed all the way through the work order before being scrapped. This field is available only if Completion is selected in the Type field and Scrap is selected in the Complete to field.

 

Parent Qty

Type the quantity of planned parent items that this completion transaction represents. Enter 0 (zero) to indicate that this item is a by-product item. The parent quantity indicates the number of items that are represented by the current quantity of items being completed (typed in the Quantity field). This field appears only if the entry at the Complete Item No. field is changed, and if Completion is selected in the Type field.

 

Unit/Total Cost

If Scrap is selected in the Complete to field, type the unit cost of the units being scrapped. If you do not know the cost of the units being scrapped, accept the default of 0 (zero). The unit cost will be calculated automatically based on the percentage of units being completed to scrap compared to the total remaining quantity. If you typed 0 (zero) in the Quantity field, type a total cost. Because a quantity was not entered, the cost represents a lot cost, rather than a unit cost. This relieves the cost of the scrap from work in process without changing the quantity expected from the work order. If 0 (zero) is typed in the Parent Qty field, type a unit cost. This field is available only if Completion is selected in the Type field.

 

Lot/Serial Number

Enter the lot or serial number assigned to the item. This field is available only for lot and serial items and if Completion is selected in the Type field.

 

Employee No.

Enter the employee number for the production employee against whom labor charges will be issued, or click the Lookup button to list all production employee numbers. The employee name is displayed for reference in the Employee Name field. This field is available only if Labor is selected in the Type field and a crew number is entered at the Employee/Crew No. field.
