A/P Division Maintenance

Division No.

Enter the division number for the division to add or maintain, or click the Lookup button to list all division numbers. Each division must be assigned a unique number between 01-99. If the Accounts Payable Divisions check box is cleared in Accounts Payable Options, only division 00 can be entered.

 

Description

Type the description for this division.

 

Accounts Payable

Enter the accounts payable account number in General Ledger to use for the division, or click the Lookup button to list all account numbers. If the account number is longer than the field, use the left and right arrow keys to view the entire account number.

Accounts can be created in this field if the appropriate settings are selected in the Auto Create when all Segments are Valid field in General Ledger Options.

 

Discounts Earned/Discounts Taken

Enter the general ledger account number to use for discounts earned and discounts taken, or click the Lookup button to list all general ledger accounts. The account number for discounts earned or taken is required to update the Invoice Register, even if discounts are not tracked. The Discounts Earned field is available only if Earned is selected in the Account for Discounts Earned or Lost field Accounts Payable Options. The Discounts Taken field is available only if Lost is selected in the Account for Discounts Earned or Lost field in Accounts Payable Options.

If the account number is longer than the field, use the left and right arrow keys to view the entire account number.

Accounts can be created in this field if the appropriate settings are selected in the Auto Create when all Segments are Valid field in General Ledger Options.

 

Cash Account

Enter the general ledger cash account number to use instead of the bank code's cash account number entered in Bank Code Maintenance, or click the Lookup button to list all general ledger accounts. Leave this field blank to use the bank code's cash account. This account is used during the Check and Electronic Payment Register update and Manual Check and Payment Register update processes.

Note If a cash account is defined in this field, the cash account defined for the bank code in Bank Code Maintenance is ignored during the Check and Electronic Payment Register and Manual Check and Payment Register update processes.

Discounts Lost

Enter the general ledger account number to use for discounts lost, or click the Lookup button to list all general ledger accounts. This field is available only if Lost is selected in the Account for Discounts Earned or Lost field in Accounts Payable Options.

If the account number is longer than the field, use the left and right arrow keys to view the entire account number.

Accounts can be created in this field if the appropriate settings are selected in the Auto Create when all Segments are Valid field in General Ledger Options.

 

Retention Payable

Enter the general ledger retention payable account number to use for posting retention from job-related invoices, or click the Lookup button to list all account numbers. If you do not want to use a separate account for retention, enter the standard accounts payable account to use for retention. This field is available only if the Job Cost module is installed and set up.

If the account number is longer than the field, use the left and right arrow keys to view the entire account number.

Accounts can be created in this field if the appropriate settings are selected in the Auto Create when all Segments are Valid field in General Ledger Options.

 

Freight Account

Enter the general ledger account number to use for posting freight for the division, or click the Lookup button to list all general ledger accounts. This field is available only if the Calculate Sales Tax in A/P Data Entry check box is selected in Accounts Payable Options, or if the Purchase Order module is integrated with Accounts Payable.

If the account number is longer than the field, use the left and right arrow keys to view the entire account number.

Accounts can be created in this field if the appropriate settings are selected in the Auto Create when all Segments are Valid field in General Ledger Options.

 

A/P Sales Tax Account

Enter the accounts payable sales tax account number in General Ledger to use for posting purchases sales tax for the division, or click the Lookup button to list all general ledger accounts. This field is available only if the Sales Tax Reporting check box is selected in Accounts Payable Options.

If the account number is longer than the field, use the left and right arrow keys to view the entire account number.

Accounts can be created in this field if the appropriate settings are selected in the Auto Create when all Segments are Valid field in General Ledger Options.

 

Nonrecoverable Tax Account

Enter the general ledger nonrecoverable tax account number to use for posting the nonrecovery amount for this division, or click the Lookup button to list all general ledger accounts. This account is used only when the Expense to Vendor/Item check box is cleared in Sales Tax Code Maintenance. This field is available only if the Sales Tax Reporting check box is selected in Accounts Payable Options.

Accounts can be created in this field if the appropriate settings are selected in the Auto Create when all Segments are Valid field in General Ledger Options.

 

Use Tax Account

Enter the general ledger use tax account number to use for posting the use tax amount for the division, or click the Lookup button to list all general ledger accounts. This credit posting will be offset with a debit to the accounts payable sales tax account. This field is available only if the Sales Tax Reporting check box is selected in Accounts Payable Options.
