Expand/Collapse item What is the difference between a view, setting, and filter?

Settings are saved modifications made in the Business Insights Explorer window to the layout of columns, formatting of numeric fields, and option preferences. Changes made to the Data View grid, Navigation pane, and Preview pane can be saved as a new setting.

Views are predefined sets of data provided in the Business Insights Explorer window. A setting is applied to the current view. A view can have multiple settings defined, both public and private, with one setting designated as the default setting.

A filter allows you to refine the data you can see in the selected view. You can customize a view by applying filters to it. A filter is saved with a setting. You can define multiple filters for each view.

 

Expand or collapse item What information is saved with a view’s setting?

The view information is saved in a view setting file, where the starting default view setting is stored. The following information is saved in each view setting file.

Note The information in the first six bullet items below cannot be modified through Business Insights Explorer.

  • Column captions used in views and previews

  • Related previews

  • Related Explorer views

  • Related task information

  • Fields to suppress when the view is being previewed to the Data View grid

  • Tables that are part of the data source definition for the view

  • Global formatting settings

  • Columns that are part of the data source definition for the view (columns that cannot be removed)

  • Group-By panel visibility (none, always, or group expand)

  • Whether the Filter panel is in a show or hide state

  • Filter applied to data in the Data View grid

  • Whether the Group Summary footer is visible

  • Column settings, such as: visibility, order in the Data View grid, column captions, widths, format type, cell-merge setting, level formatting values (overrides default formatting), column summary value settings, group summary value settings, and sort order

Note Preview pane settings, such as the currently selected preview, sorting applied to columns, and filtering applied to columns are not saved as part of the view setting.

 

Expand or collapse item What settings persist when I reopen the Business Insights Explorer window?

Global-state information for Business Insights Explorer, which is stored in the registry, is loaded when each instance of Business Insights Explorer is opened. If there are multiple instances of Business Insights Explorer running, the last instance closed has its state information saved. The following states persist when the Business Insights Explorer window is reopened:

  • The window size (width and height) and location (top and left).

  • The window state, such as normal or maximized.

    Note
    The minimized state does not persist.

  • The state of the Navigation pane, such as docked, undocked, auto hide, and width. Additionally, the active Navigation pane group persists (Tasks, Preview, or Explore group).

  • The state of the Preview pane, such as the pane height and whether it is in a show or hide state.

  • Whether the Search pane is in a show or hide state.

  • Whether the Status bar is in a show or hide state.

  • Whether the Selected Record Only option is selected under File menu > Export Options.

  • The layout of all toolbar and menu items, including the Customize options (accessed by selecting Tools menu > Customize).

 

Expand/Collapse item What chart settings are saved with a view?

The following chart settings are saved with their corresponding view:

  • The chart title entered in the Chart Title field

  • The chart type entered in the Chart Type field

  • Data points per page selected in the Data Points per Page field

  • The setting in the 3D chart check box

  • The series of columns selected in the Series field

  • The selection in the Group By field

  • The selection in the Sort By field

  • The setting in the Sort Ascending check box

 

Expand/Collapse item Is it possible to change the caption of a column in the Data View grid?

Yes, you can change a column's caption in the Column Settings window. For more information, see Change a Column Caption.

 

Expand/Collapse item How do I save a setting as the default setting?

You can save a setting as the default setting by clicking the Default Setting button on the Business Insights Explorer toolbar with the setting in view. For more information, see Save a Setting as the Default.

 

Expand/Collapse item In the Account Budgets view, is there a next year option?

An unlimited number of budget codes can be defined in General Ledger Options. For more information, see General Ledger Options.

The Account Budgets view displays the original and revised budgets by default. You can remove the filter to display all budgets by clearing the (Budget Code = ORIGINAL) check box in the filter panel. Next, add the Budget Code column to the Data View grid. For more information on adding columns, see Show and Hide Columns.

Note Budget information can also be viewed in the Accounts view by selecting the Account Budgets option, and then clicking the Open Preview button.

 

Expand/Collapse item Is there a way to turn off the "The current view setting has changed. Do you want to save the setting?" message when navigating between views?

Yes, you can disable this message by accessing Tools menu > Options > General tab. Clear the Prompt to Save Changed Setting check box. For more information, see Options.

 

Expand/Collapse item How can I always display the current date at the top of the Posting Date column in the Account Transactions view?

You can re-sort the column by clicking the column header for Posting Date, and then saving the setting. The next time you access the view, the Posting Date displays with the current date at the top of the column. Expand/Collapse item How can I control who can see a view in Business Insights Explorer?

You can control who has access to the views in Business Insights Explorer by using the Tasks tab in Library Master Role Maintenance. On the Tasks tab, you can expand the module folder that contains the views that you want to restrict, and then clear the applicable Explorer View check boxes for the role. Additionally, the Security Events tab and OCBC Security tab in Role Maintenance can be used to restrict access.

 

Expand/Collapse item How can I see as many columns as possible without scrolling each time I come into a view?

To see as many columns as possible when opening a view in Business Insights Explorer, you can drag the column header borders to decrease the size of the columns. You can then save the setting so that the resized columns are retained the next time you access the view.

 

Expand/Collapse item Is there a way to output the data in the Data View grid straight to PDF?

Yes, if you have a PDF driver, you can output to PDF by selecting File menu > Print.

 

Expand/Collapse item How can I tell how many lines or transactions are in a view?

You can display the number of rows for a Data View grid and the Preview pane in the Status Bar of the Business Insights Explorer window. To enable this feature, select View menu > Status Bar.

 

Expand/Collapse item How can I expand or collapse all groups of data in the Data View grid?

You can collapse or expand all groups of data in the Data View grid by right-clicking the Group panel and selecting Collapse All Groups or Expand All Groups. You can also add the Collapse All Groups and Expand All Groups as buttons on the toolbar. Expand/Collapse item Is there a hotkey that can be used to refresh the data in the Data View grid?

In addition to using the Refresh Data button on the toolbar, you can press the F9 key to refresh data in the Data View grid.

 

Expand/Collapse item Do the cells in the Data View grid autofill when you start typing in them?

Although the cells of data do not autofill, if you start typing within a cell for a column in the Data View grid, focus automatically jumps to the cell that contains the first letter or number that you typed.

 

Expand/Collapse item Is there a way to set a range in the Filter Builder?

Yes, when selecting an operand for an equation in the Filter Builder, select "between" to set up the range. For more information, see Filter Data.
