Federal and State Tax Reporting

 

Form Type

Select a form type.

  • Select Federal print federal earnings and tax information. If this option is selected, a list of federal forms appears in the Form Name lookup window.
  • Select State to print state earnings and tax information. After selecting a state code, a list of state forms appears in the Form Name lookup window.
  • Select Existing Reports to print reports and forms that were previously printed or filed.

 

State Code

Select the applicable state code. This field is available only if State is selected in the Form Type field.

 

Form Name

Click the Lookup button and select the form. If Federal is selected in the Form Type field, this field displays all federal forms. If State is selected, all forms applicable to the state are listed.

 

Period

This field displays the current period based on the form selected and can only be viewed.

 

Year

Enter the current Payroll fiscal period. The default value is the current processing year entered in Payroll Options, but it can be changed.

 

Quarter

Select the current quarter. This field is available only if an applicable form is selected in the Form Name field. The default value is the current quarter entered in Payroll Options, but it can be changed.

 

Kind of Employer

Select the kind of employer for your business.

  • Select None Apply if this option does not apply to your company.

  • Select Tax Exempt if your company is a tax exempt business type.

  • Select State and Local Governmental if your company is state or local government business type.

  • Select State and Local Tax Exempt if your company is a state or local tax exempt business type.

  • Select Federal Government if your company is a federal government business type.

Note This field is available only if a W-2 form is selected in the Form Name field.

 

Starting Check Date

Enter a the starting date fro a range of dates. Click the Calendar button to select a date from the calendar. The date is automatically entered for annual and quarterly forms.

This field is available only if an applicable form is selected in the Form Name field.

 

Ending Check Date

Enter a the ending date fro a range of dates. Click the Calendar button to select a date from the calendar. The date is automatically entered for annual and quarterly forms.

This field is available only if an applicable form is selected in the Form Name field.

 

Name

Enter your company's name. This field defaults to the company name entered in Company Maintenance.

 

Country

Enter the country code, or click the Lookup button to list all country codes.

A country code is needed to ensure that the correct city and state or province are entered based on the ZIP or postal code.

The default country code entered on the Main tab in Company Maintenance is entered in this field by default, but you can change it.

 

Address

Enter your company's street address. This field defaults to the street address entered in Company Maintenance.

 

ZIP/Postal Code

Enter the ZIP or postal code for your company address. This field defaults to the ZIP or postal code entered in Company Maintenance.

 

City

Enter the city for your company address. This field defaults to the city entered in Company Maintenance.

 

State/Province

Enter the state or province abbreviation for your company address. This field defaults to the state or province entered in Company Maintenance.

 

Federal ID No.

Enter your federal identification number. This field defaults to the federal identification number entered in Tax Table Maintenance.

 

Telephone

Enter your company's telephone number, starting with the area code. This field defaults to the telephone number entered in Company Maintenance.

 

Fax

Enter your company's fax number, starting with the area code. This field defaults to the fax number entered in Company Maintenance.

 

Trade Name

Enter your company's trade name if it is different from the company name. This field defaults to the trade name entered in Company Maintenance.

Note A trade name is a name that is used to identify a product or service. Also known as business name or brand name. In general, the trade name is the name under which your company does its business.

 

Operand

Select an operand to limit your selection to a particular value or range of values. When selecting a value using the Lookup button or entering a value directly into the Value field (and moving out of the field), the operand automatically changes to Equal to. Likewise, when selecting a value using the Lookup button for a range or entering values directly into both Value fields, the operand automatically changes to Range.

The following operands are available:

All Selects all information for the Select Field.
Begins with Selects only the information for the Select Field that begins with the value entered in the Value field.
Ends with Selects only the information for the Select Field that ends with the value entered in the Value field.
Contains Selects only the information for the Select Field that contains the value entered in the Value field.
Less than Selects only the information for the Select Field that is less than, but not equal to, the value entered in the Value field.
Greater than Selects only the information for the Select Field that is greater than or equal to the value entered in the Value field.

Range

When Range is selected, two Value fields are used. Information is selected that is greater than or equal to the first value entered and less than or equal to the second value entered in the Value fields.

 

Entering a range of account numbers produces different selection results than entering a range of main accounts and segments. When you specify a range of account numbers, all account numbers in that range are selected. When you specify a range of main accounts, all accounts beginning with the specified main account numbers are selected. Main account selections override account number selections.

 

Note Entries in the "From" Value field may change to the entry made in the "To" Value field, if the "From" Value contains a lowercase letter and the "To" Value contains an uppercase letter. This occurs because lowercase letters are greater than uppercase letters. For example, if 01a is entered in the "From" Value field and 01C is entered in the "To" Value field, the "From" Value field changes to 01C.

Equal to

Selects only the information for the Select Field that is equal to the value entered in the Value field.

Not Equal to

Selects only the information for the Select Field that is not equal to the value entered in the Value field.

 

Additional operands are available for date Select fields. The system date is used to calculate the date ranges. When one of the date operands is selected, the Value fields automatically default to the appropriate dates.

Multiple values can be entered using a comma (,) to enlarge the selection criteria. You can also use alternate separators (other than the reserved comma) to separate multiple selection values.

Note When alternate separators are used, the value list must end with the alternate separator character.

 

The alternate separators include the following:

Note If you enter a value that contains a comma (for example, if a vendor number is 01-SAGE,WEST), then you must enclose the value with an alternate separator (for example, %01-SAGE,WEST%). Because the comma is a separator, if the value is not enclosed in alternate separators, the system can search for two incorrect values (for example, "01-SAGE" and "WEST", instead of "01-SAGE,WEST").

 

Value

Enter a value based on the operand entered, or click the Lookup or Calendar button to select a value from the list. Multiple values can be entered by using a comma or alternate separators to separate values.

You can enter single or multiple values as follows:

Contains

Multiple values are separated by a comma or alternate separator. An OR condition is assumed.

Less than Only single values are allowed.
Greater than Only single values are allowed.
Range Both Value fields are used to define a range. Only single values are allowed at each Value field.
Equal to Multiple values are separated by a comma or alternate separator. An OR condition is assumed.

Not Equal to

Multiple values are separated by a comma or alternate separator. An AND condition is assumed.

Note If you enter a value that contains a comma (for example, if a vendor number is 01-SAGE,WEST), then you must enclose the value with an alternate separator (for example, %01-SAGE,WEST%). Because the comma is a separator, if the value is not enclosed in alternate separators, the system can search for two incorrect values (for example, "01-SAGE" and "WEST", instead of "01-SAGE,WEST").
