Adjust the invoice in Invoice Data Entry for the customer overpayment, or adjust the credit memo for the payment to make to the customer. Use the cash clearing account to record the cash portion of the transaction.

Note You cannot process a credit card transaction against negative amounts.

To adjust the invoice or credit memo

  1. Select Accounts Receivable Main menu >  Invoice Data Entry.

  2. In the Invoice No. field, enter the existing invoice or credit memo number to adjust. For more information, see Invoice Data Entry - Fields.

  3. In the Customer No. field, enter the customer number for the original invoice or credit memo.

  4. A message appears asking if you would like to adjust the invoice, click Yes.

  5. You can accept or change the invoice date displayed. Change any header information, as necessary.

  6. Click the Lines tab.

  7. In the Item Code field, type /M.

  8. In the GL Account field, enter the cash clearing account number.

  9. In the Amount field:

  1. To make an adjustment for the overpayment of an invoice, type a positive number for the overpaid amount. This entry increases the amount of the invoice to match the amount of the payment.

  2. To make an adjustment for the payment of a credit memo, type a negative number for the amount of the credit memo. This amount adjusts the credit memo balance to 0 and is the amount used to generate the Accounts Payable check.

  1. When you complete the adjustment, click OK. The adjustment is reflected in the totals information displayed. Click the Totals tab to verify the totals information.

  2. Click Accept.

  3. Complete the procedure by selecting Create a Refund Check.

When you update the Invoice Sales Journal the adjustment posts a debit to the accounts receivable account and a credit to the cash clearing account.
