Role Maintenance

Role

Enter the role name, or click the Lookup button to list all existing roles. Click the Role Template List button to list all templates.

 

Description

Enter a description for the role.

 

Role Type

Select a type.

Note For roles created in an earlier version of Sage 100, Converted is selected in this field. You cannot select Converted when creating a role.

 

1. Tasks

 

 

Alphabetical

Select Alphabetical to list the modules alphabetically.

 

Default Menu Order

Select Default Menu Order to list the modules in the default order in which they appear in the Desktop Modules menu.

 

Task Permissions List

Select check boxes to allow access. Clear check boxes to restrict access. All check boxes on the Tasks tab are cleared by default.

If you select the check box next to a task, all of the permissions for that task are automatically selected. If you clear the check box next to a task, the check boxes for all permissions are automatically cleared. Select individual permissions for more granular control.

Note Click items in the tree view to show or hide the items underneath them in the tree.

For most modules, the tasks have the security permissions shown in the tables below. For a few modules, you can select only Access or No Access.

Security permissions for maintenance and data entry tasks

Create

Allows the user to create new entries. The Modify and View security permissions are assumed if this check box is selected.

Modify

Allows the user to modify existing entries. The View security permission is assumed if this check box is selected.

Remove

Allows the user to delete entries. The View security permission is assumed if this check box is selected.

View

Allows the user to only view entries.

If you select the Create check box and clear the Modify and View check boxes for a task, the Modify and View check boxes will be selected the next time you access the Tasks tab. This occurs because the Modify and View security permissions are assumed when you select the Create security permission.

Security permissions for update tasks

Update

Allows the user to update entries. The Print attribute is assumed if this check box is selected.

Print

Allows the user to print update reports, but not update files.

Security permissions for set-up tasks

Modify

Allows the user to modify existing entries. The View security permission is assumed if this check box is selected.

View

Allows the user to only view entries.

 

2. Security Options

 

Use the Security Options tab to enable security options for the selected role. All check boxes are cleared by default. Select the Sage 100 check box to select all of the security options. Select the check box next to a module to select all of the security options for that module. Select the check box next to a specific security option to enable it for the current role. Clear check boxes to specify which security options are disabled for the current role.

Note Double-click the Sage 100 check box to expand or collapse the security options tree view. Use the Expand All and Collapse All buttons to expand or collapse the entire tree view.

Most modules allow you to assign individual security options, while some have only the Allow Supervisor Rights security option.

 

Module

Select Module to group the security options by module. All security options will be grouped by module with no sub-grouping.

 

Group

Select Group to group the security options by security group. The security options will be grouped by module with a sub-grouping by security group. For example, all of the security options related to batches will be grouped together.

The list of security groups varies by module. Examples include Data Entry, Import and Export, and Maintenance.

 

Security Option

Select Security Option to list all security options in alphabetical order with no grouping by module. When you select this option, any security option that you enable will be enabled for all applicable modules.

For example, if you select the check box for Allow Batches to be Merged, users will be able to merge batches in all modules to which they have access.

After enabling a security option for all modules, you can select either the Module or Group grouping option and then disable the security option for a specific module.

3. SData Security

Use the SData Security tab to assign SData security permissions and allow access to individual data tables.

Select the Sage 100 check box to select all of the SData security permissions. Select the check box next to a module to select all of the SData security permissions for that module. Select the check box next to a specific table to allow access for the current role. Clear check boxes to specify which SData security permissions are not available for the current role.

Note Double-click the Sage 100 check box to expand or collapse the SData security tree view.

SData security is available only if the Enable Native SData Provider and Access within Role Maintenance check box is selected in System Configuration.

Security permissions for data tables

Create

Allows the user to create new entries.

Read

Allows the user to view entries.

Update

Allows the user to update existing entries.

Delete

Allows the user to delete entries.

 

4. ODBC Security

Note This tab is not available for Sage 100 Premium.

Use the ODBC Security tab to assign ODBC security permissions and allow access to individual data tables and fields.

Select the Sage 100 check box to select all of the ODBC security permissions. Select the check box next to a module to select all of the ODBC security permissions for that module. Select the check box next to a specific table or field to allow access to the current role. Clear check boxes to specify which ODBC security permissions are not allowed for the current role.

Note Double-click the Sage 100 check box to expand or collapse the ODBC security tree view.

ODBC security is available only if the Enable ODBC Security within Role Maintenance check box is selected in System Configuration.
