Setting Time Off Accrual Limits

You can set up either a single time off accrual limit or two accrual limits depending on your business needs.

Set Up a Time Off Limit

The number of time off hours to be accrued for an employee can be limited based on the entry in the Hours to use for Time Off Limit field in Payroll Options.

  • If Accrued+Carry Over is selected in the Hours to use for Time Off Limit field in Payroll Options, the accrual of employee time off stops when the hours accrued plus the carryover hours equal or exceed the annual limit for the time off schedule.

  • If Accrued Hours Only is selected in the Hours to use for Time Off Limit field in Payroll Options, carryover hours and hours used have no effect on the number of hours that can be accrued.

Set Up Two Time Off Limits

You can set up two limits for time off rules if necessary. The first limit is based on the entry in the Hours to use for Time Off Limit field in Payroll Options. The second limit is based on the entry in the Addl Hrs to Use field in Time Off Maintenance.

For example, Minnesota Earned Sick and Safe Time (ESST) requires two limits.

  • The first limit requires that sick time accrues at one hour per 30 hours worked (0.03334/hour), up to a maximum of 48 hours per year (Accured Hours Only is selected in the Hours to use for Time Off Limit field in Payroll Options). The second limit requires that employees can carryover their sick time but can only have a maximum total of 80 hours (Accru+CO-Used is selected in the Addl Hrs to Use field in Time Off Maintenance). The accrual of employee time off stops when the hours accrued plus the carryover hours minus the hours used exceed the annual limit for the time off schedule.

    In Example 3, the employee has accrued 30 hours of ESST, has not used any hours, and has 50 hours of carryover. The employee will not accrue anymore ESST for the year because the 80-hour limit has been reached.
