TimeCard Entry/Inquiry

Employee No.

Enter an employee number, or click the Lookup button to list all employee numbers. Click the Data Entry List button to list all TimeCard entries. Click the Next Employee Number button to enter the next employee number.

 

Date Worked

Type the date worked, or click the Lookup button to list all TimeCard entries by date. Click the Recalculate Fields button to recalculate the hours in the Hours Worked fields.

 

Sequence No.

Type a sequence number, or press Enter to accept the next sequentially assigned number. The sequence number allows for multiple records for a single employee on a single day. Together with the employee number and date worked, the sequence number forms the key to this record.

Labor Code

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, enter a valid labor code, or click the Lookup button to list all labor codes. Click the Refresh Fields From Employee Masterfile button to refresh employee default values for this field, as well as the Earnings Code, State, Local, Dept, and W/C Code fields.

In TimeCard Inquiry and TimeCard History Inquiry this field displays the labor code, and can only be viewed.

 

Earnings Code

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, enter a valid earnings code, or click the Lookup button to list all earnings codes. Click the Refresh Fields From Employee Masterfile button to refresh employee default values for this field, as well as the Labor Code, State, Local, Dept, and W/C Code fields.

In TimeCard Inquiry and TimeCard History Inquiry this field displays the earnings code, and can only be viewed.

 

State

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, enter a valid state code, or click the Lookup button to list all state codes. Click the Refresh Fields From Employee Masterfile button to refresh employee default values for this field, as well as the Labor Code, Earnings Code, Local, Dept, and W/C Code fields.

In TimeCard Inquiry and TimeCard History Inquiry this field displays the state code, and can only be viewed.

 

Local

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, enter a valid code for the local taxing authority, or click the Lookup button to list all local codes. Click the Refresh Fields From Employee Masterfile button to refresh employee default values for this field, as well as the Labor Code, Earnings Code, State, Dept, and W/C Code fields.

In TimeCard Inquiry and TimeCard History Inquiry this field displays the local taxing authority code, and can only be viewed.

 

Dept

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, enter a valid department code, or click the Lookup button to list all departments. This field defaults to the employee's default department, but can be overridden. Click the Refresh Fields From Employee Masterfile button to refresh employee default values for this field, as well as the Labor Code, Earnings Code, State, Local, and W/C Code fields.

In TimeCard Inquiry and TimeCard History Inquiry this field displays the department code, and can only be viewed.

 

W/C Code

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, enter a valid workers' compensation code, or click the Lookup button to list all workers' compensation codes. Click the Refresh Fields From Employee Masterfile button to refresh employee default values for this field, as well as the Labor Code, Earnings Code, State, Local, and Dept fields.

In TimeCard Inquiry and TimeCard History Inquiry this field displays the workers' compensation code, and can only be viewed.

 

Job Number

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, enter a valid job number, or click the Lookup button to list all job numbers. This field is available only if the Integrate with Job Cost check box is selected in the TimeCard & TimeClock Options window.

In TimeCard Inquiry and TimeCard History Inquiry this field displays the job number, and can only be viewed.

 

Cost Code

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, enter a valid cost code, or click the Lookup button to list all cost codes. Click the Special Options button to list active cost codes for the selected job. This field is available only if the Job Cost module is integrated with TimeCard and a job number is entered at the Job Number field.

In TimeCard Inquiry and TimeCard History Inquiry this field displays the cost code, and can only be viewed.

 

Time In

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, type the time the employee punched in for the day.

In TimeCard Inquiry and TimeCard History Inquiry this field displays the time in, and can only be viewed.

 

Time Out

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, type the time the employee punched out for the day.

In TimeCard Inquiry and TimeCard History Inquiry this field displays the time out, and can only be viewed.

 

Elapsed

This field displays the elapsed time, and can only be viewed.

 

Hours Worked (Decimal)

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, type the hours worked using a decimal format.

In TimeCard Inquiry and TimeCard History Inquiry this field displays the hours worked in a decimal format, and can only be viewed.

Hours Worked (Clock)

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, type the hours and minutes worked using a clock format.

In TimeCard Inquiry and TimeCard History Inquiry this field displays the hours worked in a clock format, and can only be viewed.

Rate

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, type a wage rate. This field appears only if the Display Wage Rates on Data Entry Window check box is selected in the TimeCard & TimeClock Options window. If a password is typed in the Password for Wage Rate Changes field in the TimeCard & TimeClock Options window, a message appears when the wage rate is changed prompting you to enter the password. For more information, see TimeCard & TimeClock Options.

In TimeCard Inquiry and TimeCard History Inquiry this field displays the wage rate, and can only be viewed.

 

Amount

This field displays the amount, which is equal to the number of hours in the Hours Worked field multiplied by the rate in the Rate field. This field can only be viewed. This field is available only if the Display Wage Rates on Data Entry Window check box is selected in the TimeCard & TimeClock Options window. Exceptions

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, enter exception codes, or click the Lookup button to list all exception codes.

In TimeCard Inquiry and History Inquiry, this field displays exception codes added to the TimeCard entry due to changes. Exceptions are generated if the Generate Exceptions For option check boxes are selected in the TimeCard & TimeClock Options window.

Shift

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, enter a shift code, or click the Lookup button to list all shift codes.

In TimeCard Inquiry and TimeCard History Inquiry this field displays the shift code, and can only be viewed.

 

Approval

In TimeCard Entry and Edit and TimeCard Entry - New Entries Only, select this check box if this entry has been approved. Clear this check box if this entry has not been approved. This check box defaults to the approval status set in the Require Approval Before Posting and the Default Approval Status for New Records check boxes in the TimeCard & TimeClock Options window. In TimeCard Inquiry and TimeCard History Inquiry this check box displays the approval status, and can only be viewed.

 

P/R Posting Status

This field displays the Payroll posting status, and can only be viewed. The following status codes may appear in this field.

 

J/C Posting Status

This field displays the Job Cost posting status, and can only be viewed. The following status codes may appear in this field.

 

Last Change

This field displays the user ID of the user who last accessed and changed this entry. This field can only be viewed.

 

Batch

This field displays the source of entry (for example, if the source is TimeCard Entry and Edit, T/C D. E. appears). This field can only be viewed.

 

Series

This field displays the sequential series number assigned to the TimeCard entry. A TimeCard Report can optionally be run in series order. This field can only be viewed.
