Enter Sales Order/Invoice and A/R Cash Receipts/Invoice Credit Card Information

Use the following procedure to enter sales order/invoice and Accounts Receivable cash receipts/invoice credit card information.

 

 

To enter credit card information in Sales Order Entry

  1. Select Sales Order Main menu > Sales Order Entry.

  2. Enter the sales order information. For more information, see Sales Order Entry - Fields.

  3. On the Lines tab, enter the items for this sales order.

  1. On the Totals tab, in the Deposit Payment Type, select Credit Card.

  2. On the Payment tab, in the Payment ID field, enter the card ID to identify the credit card for this order.

  3. To select an existing card ID, click the Lookup button.

  4. To save the new card ID for future use, click Yes when prompted to save the card.

  5. To use the card ID for this transaction only, click No when prompted to save the card.

Note The Save check box is already selected for existing card IDs. Any updates made to the credit card ID will be automatically saved when you click Accept.

  1. If you are entering a new card ID, in the Payment Type field, select a credit card payment type.

  2. If you are entering information for a corporate credit card, enter the customer's corporate ID or purchase order number in the Corporate ID/PO field.

Note The corporate ID/purchase order number and sales tax amount are not required to process the credit card transaction, but the credit card company may charge a higher transaction fee if you do not track this information. For more information on corporate cards, see Enter Customer Corporate Credit Card Information.

  1. Click Submit Card/ACH Account or Accept to launch Sage Exchange.

  2. If you are entering a new card ID, enter the credit card information and  the CVV number, and then click Submit.

  3. If you are selecting an existing card ID, verify the credit card information, enter the CVV number, and then click Submit.

Note The Submit Card/ACH Account button is available only if an option other than None is selected in the Enable Payments field in Company Maintenance and the payment type has a valid processor connection established in Payment Type Maintenance.

Note The CVV number is not required to process the transaction; however, the credit card company may charge a higher transaction fee if you do not enter this information.

The credit card information is entered for the sales order. The transaction will be processed based on the selection made in the Process in Batch check box. For more information, see the Process Credit Card Transactions.

 

To enter credit card information in Cash Receipts Entry

  1. Select Accounts Receivable Main menu > Cash Receipts Entry.

  2. In the Cash Receipts Deposit window, enter the receipt header information and click Accept. For more information, see Cash Receipts Deposit - Fields.

  3. In Cash Receipts Entry, enter the customer number and select Credit Card in the Deposit Type field. For more information, see Cash Receipts Entry - Fields.

  4. In the Entry No. field, enter the next credit card entry number or click the Next Credit Card Entry No. button.

  1. Click the Lines tab and enter the invoice for this receipt.

  2. On the Payment tab, in the Payment ID field, enter the card ID to identify the credit card for this receipt.

  3. To select an existing card ID, click the Lookup button.

  4. To save the new card ID for future use, click Yes when prompted to save the card.

  5. To use the card ID for this transaction only, click No when prompted to save the card.

Note The Save check box is already selected for existing card IDs. Any updates made to the credit card ID will be automatically saved when you click Accept.

To enter credit card information in S/O Invoice Data Entry

  1. Select Sales Order Main menu > S/O Invoice Data Entry.

  2. Enter the invoice information. For more information, see S/O Invoice Data Entry - Fields.

  3. On the Lines tab, enter the items for this invoice.

  1. On the Totals tab, in the Deposit Payment Type, select Credit Card.

  2. On the Payment tab, in the Payment ID field, enter the card ID to identify the credit card for this invoice.

  3. To select an existing card ID, click the Lookup button.

  4. To save the new card ID for future use, click Yes when prompted to save the card.

To enter credit card information in A/R Repetitive Invoice Entry for future transactions

  1. Select Accounts Receivable Main menu > A/R Repetitive Invoice Entry.

  2. Enter the customer and reference number. For more information, see A/R Repetitive Invoice Entry - Fields.

  1. Click the Lines tab and enter the items.

  2. On the Payment tab, in the Payment ID field, enter the card ID to identify the credit card for this invoice.

  3. To select an existing card ID, click the Lookup button.

  4. To save the new card ID for future use, click Yes when prompted to save the card.

  5. To use the card ID for this transaction only, click No when prompted to save the card.

Note The Save check box is already selected for existing card IDs. Any updates made to the card ID will be automatically saved when you click Accept.
