Use the Relationship Management Wizard to create relationships between your Accounts Receivable customers and your Sage CRM companies. After using the wizard to relate customers and companies, you can repeat the process to establish relationships for contacts and addresses for customers and companies that are related.

When establishing relationships, you have the following options:

  • Relate existing customers and companies

  • Create a new Accounts Receivable customer to relate to an existing Sage CRM company

  • Create a new Sage CRM company to relate to an existing Accounts Receivable company

  • Skip records to leave them unrelated

 

If you are creating relationships based on existing company records in Sage CRM, you have the following options:

  • Create relationships for all companies

  • Create relationships only for companies with a type of Customer

  • Create relationships only for companies with a type other than Customer

Sage CRM companies with a type other than Customer are automatically promoted to have a type of Customer if relationships are created for them using the wizard. Any prospect quotes associated with those companies are changed to customer quotes.

You can also create and maintain individual relationships between customer and company records from Accounts Receivable Customer Maintenance or the Company Summary tab in Sage CRM.

  • Ensure that your customer records have a name in the Name field in Customer Maintenance; otherwise, if you elect to create new records when no match is found, you may have duplicate records created.

  • The Customer Relationship Management module must be set up before relationships can be created between Accounts Receivable and Sage CRM. For more information, see Set Up Customer Relationship Management for a New Company.

  • Salespersons must be set up with access to Sage CRM as well as access to Sage 100 from Sage CRM. For more information, see Set Up Salespersons for Sage CRM.

  • This procedure describes how to create relationships for multiple records as part of the initial module setup. To create relationships for individual records, see Create a Relationship between a Customer and a Sage CRM Company.

 

To create relationships between Sage CRM and Accounts Receivable

  1. Select Customer Relationship Management Main menu > Relationship Management Wizard.

  2. In the Relationship Management Wizard, select whether you are searching for unrelated records in Accounts Receivable or in Sage CRM. To search for unrelated records in both Accounts Receivable and Sage CRM, you must run the wizard multiple times.

  3. Select the Customers and Companies option to create relationships between Accounts Receivable customers and matching Sage CRM companies. Complete the wizard.

Note When a customer/company relationship is created, a relationship is automatically created for the primary Accounts Receivable contact/Sage CRM person and Accounts Receivable ship-to address/Sage CRM address. You must complete step 3 before creating relationships for additional contact/person and ship-to address/address combinations.

  1. To create relationships for additional Accounts Receivable contacts and Sage CRM persons, launch the Relationship Management Wizard again and select the Contacts option. Complete the wizard.

Note Sage CRM allows the entry of separate business, mobile, fax, home, and pager phone numbers for each contact. Only the Sage CRM business and home phone numbers are copied over to the Accounts Receivable contact. In Customer Contact Maintenance, the Sage CRM business phone number is copied to the Telephone 1 field, and the Sage CRM home phone number is copied to the Telephone 2 field.

  1. To create relationships for additional Accounts Receivable ship-to addresses and Sage CRM addresses, launch the Relationship Management Wizard again and select the Ship-To Addresses option. Complete the wizard.

Note The Sage CRM address type is not selected; it can be manually maintained but is not required.

Relationships are created between customers and companies, contacts, and ship-to addresses in Accounts Receivable and Sage CRM. For more information, see Create a Relationship between a Customer and a Sage CRM Company.

Expand/Collapse item  Example - Matching address records between Accounts Receivable and Sage CRM

When selecting potential matches between Accounts Receivable and Sage CRM data, the Relationship Management Wizard checks unrelated records starting with the criteria selected at the top of the grid in the Define Matching Criteria page. If a match is found, the wizard displays the match in the next wizard page, and stops searching for matches for that record. Blank fields are not matched.

Address fields are searched using all addresses selected, starting at the top of the grid. For example, if Address 1, Address 2, and Address 3 are selected, the wizard searches all three address fields for matches in both systems. This ensures all address matches are found regardless of the order in which addresses were originally entered. After the records are related, the record that is newer determines the order of the data in the final address record.
