Expiration Dates for Lot and Serial Items

An expiration date can be added for items with lot or serial numbers when the item is received into inventory or produced through Bill of Materials. Expiration dates can be manually entered, or you can enter settings to automatically calculate them. You can also add or change expiration dates using the Change Lot and Serial Expiration Dates utility.

You can calculate sell-by, use-by, and return dates to determine how many days before or after an item's expiration date it can be distributed.

Note This feature is available only for subscription customers.

The expiration date feature must be enabled in Inventory Management Options, and the related settings are entered in this task. However, you can override the settings for product lines and individual items in Product Line Maintenance and Item Maintenance.

For more information, see Set Up Expiration Dates for Lot and Serial Items.

To calculate an expiration date, specify how many days, months, or years to add to an item's receipt date (entered in Receipt of Goods Entry), transaction date (entered in Transaction Entry), or production date (entered in Production Entry). Other date calculations are described below.

  • Sell-by date: The number of days before or after the expiration date an item can be sold. The sell-by date is compared to the applicable dates listed below to determine whether an item can be distributed. If no sell-by date is calculated, the expiration date is compared to the dates listed below to determine if the item is available to distribute.

  • Use-by date: The number of days before or after the expiration date an item can be issued.

The use-by date is compared to the applicable dates listed below to determine whether an item can be issued. If no use-by date is calculated, the expiration date is compared to the dates listed below to determine if the item is available to distribute.

  • Return date: The number of days after the expiration date an item can be returned.

The return date is compared to the applicable dates listed below to determine whether an item can be returned. If no return date is calculated, the expiration date is compared to the dates listed below to determine whether the item can be returned.

When working in data entry tasks, users cannot sell, issue, or accept return of an item if the expiration date falls outside of the specified date range unless they have the appropriate security setup for the Inventory Management module.
