You can create transaction journal entries for rapid entry and post transactions such as cash disbursements, bank transfers, and cash receipts.

Each journal entry distribution can reference a check number or other document number such as the deposit slip number or bank transfer number, a unique transaction date such as the check date, or a detailed comment such as the customer name.

Each line distribution can also be posted to the general ledger account number entered. Offsetting posting to a cash account or other account number is performed automatically based on the account entered in the Offset Account Number field on the Transaction Journal Entry Header tab.

 

To create a transaction journal entry

  1. Select General Ledger Main menu > Transaction Journal Entry.

  2. If Batch Processing is enabled for Transaction Journal Entry, the Transaction Journal Entry Batch window appears. You can create a new batch or select an existing batch. For more information, see Batch Entry.

  3. In the Source Journal field, enter a source journal to post your transaction journal. For more information, see Transaction Journal Entry - Fields.

  4. Enter the entry number. To create or modify the default settings for source journals, click Format. For more information, see Create Default Settings for a Transaction Journal Entry.

  5. Enter the posting date, transaction total, and journal comment fields.

  6. Enter information in the offset Account No., Description, and Offset fields, if necessary.

  7. If the Bank Reconciliation module is integrated with the General Ledger module, the Bank Reconciliation Information fields display. You can use the existing bank code, or click Format to enter a new Bank Code field in the Transaction Journal Format window.   8. Click the Lines tab, and for each transaction, enter applicable information. If you are entering a check transaction, enter the Check No. field. If you are entering a deposit, adjustment, or document reference, enter the Document Reference field. If you are entering a bank transfer, enter the Bank Code and Doc Reference fields.

Note  If the Transaction Total check box is selected in the Transaction Journal Format window, the Net Balance field displays the difference between the transaction total entered on the Header tab and the total distribution amount entered on the Lines tab. When all line entries are complete for the journal, the net balance amount should be zero.

  1. Click Accept.

The transaction journal entry is saved. To post transaction journal entries, click the Print button and print the Transaction Journal. For more information, see Transaction Journal.
