Enter Cash, Credit Card, and ACH Payment Receipts In One Deposit

Use this procedure to enter a combination of payments types in a single deposit. You can combine cash, credit card, and ACH payments.

The following check boxes must be selected in Accounts Receivable Options:

  • Allow Credit Cards / ACH Payments
  • Require Deposit Amount

 

To enter a combination of payment types in one deposit

  1. Select Accounts Receivable Main menu > Cash Receipts Entry. If you have batch processing enabled, the Cash Receipts Entry Batch window appears. Enter the batch number and click Accept.

  2. In the Cash Receipts Deposit window, enter the deposit number, description, bank code, deposit date, and deposit amounts. For more information, see Cash Receipts Deposit – Fields.

Note  The Cash Deposit Amount, Credit Card Deposit Amount, and ACH Deposit Amount fields are available only if the Require Deposit Amount check box is selected in Accounts Receivable Options.

  1. Click Accept.

  2. To enter a cash receipt:

  1. In Cash Receipts Entry, enter the customer number or type the invoice number. For more information, see Cash Receipts Entry – Fields.

  2. If the In the Deposit Type field, select Cash and enter the check number.

  3. In the Amount Received field, enter the amount of the customer’s cash payment.
  4. Click the Lines tab and enter the invoice number to which the cash receipt should be posted. If you previously entered the invoice number, and it has a balance greater than zero, the invoice number is automatically populated.
  5. Click Accept.
  1. To enter a credit card receipt: 

  1. Enter the customer number or type the invoice number.

  2. In the Deposit Type field, select Credit Card.
  3. In the Entry No. field, type the credit card entry number.
  4. In the Amount Received field, enter the amount of the customer’s credit card payment.
  5. Click the Lines tab and enter the invoice number to which the credit card receipt should be posted. If you previously entered the invoice number, and it has a balance greater than zero, the invoice number is automatically populated.
  6. Click the Payment tab and select the payment ID and payment type for this receipt.

  7. Click Accept.

    If the Process in Batch check box is cleared, the Sage Exchange window opens. Enter the credit card CVV code if available, and click Submit to process the transaction.

    The CVV number is not required to process the transaction; however, the credit card company may charge a higher transaction fee if you do not enter this information.

    Note The Sage Exchange window opens only if an option other than None is selected in the Enable Payments field in Company Maintenance and the payment type has a valid processor connection established in Payment Type Maintenance.

    If the Process in Batch check box is selected, see step 7.

  1. To enter an ACH receipt:

  1. Enter the customer number or type the invoice number.

  2. In the Deposit Type field, select ACH.
  3. In the Entry No. field, type the ACH payment entry number.
  4. In the Amount Received field, enter the amount of the customer’s ACH payment.
  5. Click the Lines tab and enter the invoice number to which the ACH payment receipt should be posted. If you previously entered the invoice number, and it has a balance greater than zero, the invoice number is automatically populated.
  6. Click the Payment tab and select the payment ID and payment type for this receipt.

  7. Click Accept.

  1. Click the Print button to open the Cash Receipts Journal window.

    If you entered a credit card payment and the Process in Batch check box on the Payment tab is selected, or if you entered an ACH payment, select the Perform Payment Processing check box to authorize the payment transactions through Sage Exchange when you print the journal.

  2. Click Print to print the journal.

The deposit is processed with multiple payment types.

To view the retention balance for an invoice with job cost data associated with it, click the Retention/Invoice Balance button in Cash Receipts Entry.
